Essential Job Functions:
Grants Management:

  • Compile information and assist with content development for grant applications.
  • Contribute to grants strategy through discussions and team engagement.
  • Support planning and preparation for internal kick-off meetings upon receipt of new grant awards.
  • Maintain records of grant activities and data in partnership with the project team.
  • Coordinate the completion of grant reports with involvement from the project team.
  • Monitor progress towards grant deliverables and communicate regular updates internally.
  • Assist with the development of new and improved grants processes and operations that adhere to best practices.

Financial and Operations Support:

  • Record financial transactions.
  • Send and track invoices in partnership with the finance team.
  • Assist with annual fiscal audit.
  • Purchase office supplies and maintain inventory.
  • Process purchase requests, including booking staff travel.
  • Handle incoming and outgoing mail.
  • Coordinate service requests with vendors, such as equipment repairs or training requests.
  • Support organization-wide upkeep of data management systems and effective use of digital tools.

Team Support:

  • Provide general administrative support to staff and board members.
  • Manage calendar and schedule of CEO.
  • Draft and/or format documents, such as professional letters and presentations.
  • Schedule board, staff, and committee meetings (virtual and in-person); and manage setup and
    attendance tracking.
  • Support onboarding of new team members and other personnel tasks.
  • Assist with planning team activities, such as staff meetings, shared learning, annual retreats, and social


  • Excellent writing, editing, and proofreading skills.
